About the Role
We are looking for a Customer Support & Administrative Specialist to join our pool service business. This role combines high-touch customer service with critical administrative operations, managing the full lifecycle of service calls from initial inquiries to final invoice payment.
Key Responsibilities
- →Handle a high volume of inbound calls regarding new service, maintenance, and repairs
- →Diagnose pool equipment issues over the phone to provide technicians with proper context
- →Address service complaints and find solutions
- →Draft repair estimates and follow up to convert leads into scheduled jobs
- →Use Skimmer software to create work orders and update customer profiles
- →Balance urgent repairs with maintenance schedules
- →Notify homeowners of schedule changes
- →Conduct follow-ups to collect unpaid invoices
- →Ensure accurate conversion of service logs into invoices
- →Assist with payment portal troubleshooting
- →Maintain organized digital filing systems and CRM records
- →Provide input to refine office workflows
Requirements
- ✓3+ years of experience in customer support, administrative roles, or dispatching
- ✓Fluent English with neutral accent and strong communication skills
- ✓Prior experience in home service industry (HVAC, plumbing, landscaping, or pool services)
- ✓Proficiency with CRM/scheduling software and G-Suite
- ✓Ability to adapt to schedule changes and handle frustrated customers
- ✓Self-starter with ability to work independently
- ✓High attention to detail and strong organizational skills
- ✓Experience in consumer-facing roles with homeowners
