About The RoleΒ
ββThe Project Manager I, Mobility Grants (CMO) will provide essential support for the Clean Mobility Options (CMO) Pilot Program by managing reimbursement workflows, maintaining program data systems, and supporting awardee coordination. This role integrates voucher processing with Salesforce-based data tracking, import and export management, and reporting to enhance program efficiency and transparency. The Project Manager I will also assist with cohort coordination, ensuring program management staff remain updated on awardee needs and progress.βΒ
Duties & Responsibilities
ββVoucher Payment Processing (35%)
β’ Manage payment requests for CMO Mobility Project Vouchers.
β’ Collaborate with awardees to confirm that reimbursement submissions align with approved project milestones and timelines, providing clear and timely communication on payment status and compliance needs.
β’ Deliver timely reimbursement updates and summaries for project managers and leadership teams.
Salesforce and Data Systems Management (35%)
β’ Maintain accurate and up-to-date Salesforce and Airtable records for voucher reimbursement tracking, awardee activities, and reporting.
β’ Support data transparency, validation, and synthesis by reviewing and documenting analytics outputs developed by CALSTARTβs Data and Analytics team, including data sources, assumptions, methodologies, file management practices, and data limitations to improve accessibility, accuracy, and audit readiness.
β’ Use Salesforce, Airtable, and intermediate- to advanced-level Excel tools, including structured trackers, pivots, lookups, and reconciliation tools, to translate quantitative outputs into clear qualitative insights, dashboards, and reports that support program management, internal decision-making, and external reporting.
β’ Collaborate with the Program Management team to develop and maintain tools and visualizations that reflect awardee progress, program impact, and synthesized qualitative and quantitative data across the project lifecycle.
Awardee and Cohort Support (20%)
β’ Provide guidance and resources to support awardees navigating reimbursement and documentation requirements, including developing and updating training materials and support tools.
β’ Support planning and coordination of cohort meetings by collecting feedback and identifying emerging needs or challenges.
β’ Update program management staff with key awardee insights to support proactive responses to project timelines and milestones.
System and Process Development (10%)
β’ Contribute to continuous improvement of reimbursement and data management workflows.
β’ Support development of new processes for tracking insurance updates, milestone reporting, and Window 2 award implementation.
β’ Collaborate with internal teams to streamline cross-platform data flow and reporting.
Qualifications
β’ Experience in reimbursement, data management, or operational tracking.
β’ Proficiency with Salesforce or similar CRM or database systems.
β’ Experience building reports and maintaining accurate data workflows.
Desired
β’ Familiarity with CARB or state-funded grant programs.
β’ Experience with voucher-based or grant reimbursement systems.
β’ Understanding of transportation equity and clean mobility programs.
The Program Associate will manage day-to-day data and reimbursement processes independently while receiving direction on broader program goals.
Desired Qualifications
β’ Bachelorβs degree in a related field such as finance, program administration, or data analytics.
β’ Strong data management and reporting skills using Salesforce and Airtable.
β’ Intermediate to advanced Excel proficiency for data analysis, reconciliation, and reporting.
β’ High attention to detail in financial and data tracking.
β’ Ability to synthesize qualitative and quantitative information for internal and external reporting.
β’ Strong communication skills and ability to collaborate across teams.
β’ Knowledge of CARB processes and CMO program structures.
β’ Familiarity with data analytics environments and interpretation of Python-based analytical outputs, with no coding required.
β’ Spanish fluency for engagement with diverse communities.
