ABOUT THE ROLE
The People Operations Specialist plays a vital role within the People Team, ensuring the efficient delivery of globally standardised HR processes. Working closely with People and Talent teams, you will support end-to-end employee lifecycle activities while maintaining high standards of accuracy and compliance.
In addition to core HR responsibilities, this role also oversees office operations in Manila and coordinates IT equipment provisioning in collaboration with the TechOps team. You will contribute to a seamless employee experience while ensuring operational excellence and adherence to local regulations.
KEY RESPONSIBILITIES
HR Administration & Employee Lifecycle
- Provide day-to-day administrative support across the employee lifecycle, including onboarding, offboarding, promotions, and contract updates.
- Maintain accurate employee records in HR systems, ensuring compliance with Philippines regulations and internal policies.
- Prepare employment contracts, offer letters, and related documentation in line with local requirements.
- Support onboarding activities, including documentation, benefits coordination, and new joiner setup.
Process Implementation & Quality
- Support the rollout and adoption of globally standardised HR processes within the Manila office.
- Monitor adherence to processes and identify areas for improvement.
- Collaborate with the wider People Team to ensure consistency and quality across regions.
Payroll & Data Coordination
- Work closely with Payroll to provide accurate data for monthly payroll processing.
- Assist in resolving payroll-related queries and validating employee information.
- Support coordination of statutory contributions and benefits documentation.
Office Management
- Act as the main point of contact for Manila office operations.
- Manage office facilities, supplies, vendors, and workspace logistics.
- Ensure compliance with local health and safety standards.
- Partner with Finance and Operations on budgeting, invoicing, and cost tracking.
- Support team events, engagement initiatives, and in-office activities.
IT Equipment Coordination
- Coordinate with TechOps on provisioning, tracking, and return of IT equipment.
- Ensure timely equipment setup for new joiners and role changes.
- Maintain accurate inventory records.
- Act as a liaison for employee queries related to IT equipment.
Compliance & Documentation
- Ensure employee records are securely maintained in line with data privacy regulations.
- Support internal audits and policy updates.
Employee Experience
- Act as a first point of contact for HR-related queries.
- Support engagement initiatives such as surveys and wellbeing programs.
- Contribute to fostering a positive and inclusive workplace culture.
SKILLS & EXPERIENCE
Essential
- 2+ yearsβ experience in HR, administration, operations, or office management.
- Strong organisational and time management skills.
- High attention to detail and accuracy.
- Experience using HR systems (e.g., HiBob or similar).
- Proficiency in Microsoft Office.
- Ability to collaborate with cross-functional teams (TechOps, Finance, vendors).
- Knowledge of Philippines employment laws and practices.
Desirable
- Experience in a global or fast-growing organisation.
- Exposure to office or facilities management.
- Familiarity with HR-related systems such as payroll, expenses, or background checking tools.
