About the Role
We are looking for an Order Management Specialist to oversee the entire order-to-delivery process. This role focuses on optimizing processes between sales, procurement, logistics, technical teams, and finance.
Key Responsibilities
- →Manage the entire Order-to-Delivery process from order entry through availability checks to timely delivery and installation
- →Develop and optimize Standard Operating Procedures (SOPs), Service Level Agreements (SLAs), and interface processes between sales, procurement, logistics, technical teams, and finance
- →Build system-supported monitoring for order status, backlogs, delays, and escalations while measurably reducing lead times
- →Collaborate with logistics and fulfillment partners, plan capacities proactively, and ensure material and resource availability
- →Identify bottlenecks along the supply chain and implement pragmatic measures with internal teams and external providers for inventory optimization, delivery capability, and quality assurance
- →Establish a proactive, solution-oriented service process across all touchpoints (phone, email, portal) ensuring excellent customer experiences
- →Define and monitor service KPIs such as First Response Time, Resolution Time, NPS/CSAT, and initiate continuous improvements
- →Create enablement guides and playbooks for the team enabling quick, consistent, and scalable processing
- →Create transparency through dashboards, reports, and forecasts for relevant operations KPIs such as OTIF, backlog, installation rate, cancellation rate, and service levels
- →Identify pain points, prioritize initiatives by impact, and implement pragmatic solutions with clear ROI
- →Serve as an interface between operational teams, sales, and management, bringing structure to complex issues to enable informed decisions
- →Maintain overview under high workload, set clear priorities, and stabilize processes in exceptional situations with a calm approach.
Requirements
