ABOUT THE ROLE
Weβre seeking an exceptional Recruiting Coordinator to be the operational backbone of Fluidstackβs talent acquisition function. Youβll be a critical partner to recruiters, sourcers, hiring managers, and candidates alike, ensuring every part of the hiring process runs with precision, speed, and care.
This is a high-ownership role for someone who takes pride in flawless execution, thrives in fast-moving environments, and understands that a great candidate experience is a direct reflection of Fluidstackβs brand. Youβll be the connective tissue of the TA team - keeping pipelines moving, data clean, and every stakeholder informed.
KEY RESPONSIBILITIES:
- Own interview coordination end-to-end: Schedule and manage complex, multi-stakeholder interviews across virtual and in-person formats, time zones, and roles - with zero dropped balls.
- Deliver a white-glove candidate experience: Serve as the primary point of contact for candidates throughout the interview process, ensuring every touchpoint is responsive, clear, and reflects Fluidstackβs standards.
- Keep the machine running: Proactively anticipate and resolve scheduling conflicts, logistical issues, and process bottlenecks before they become problems.
- Maintain data integrity: Own accurate, up-to-date candidate records and workflow tracking in the ATS. Clean data is non-negotiable - it drives the decisions that matter.
- Support the TA team operationally: Partner with TA Partners and Sourcers on administrative and operational tasks that keep pipelines healthy and hiring moving at pace.
- Identify and improve: Spot friction in the process, flag it, and help build better workflows. Leave every system you touch better than you found it.

REQUIREMENTS
- 1β2+ years of recruiting coordination, administrative, or operations experience - ideally in a fast-paced tech or startup environment.
- Exceptional organizational skills - you can manage high volumes of moving parts across multiple roles simultaneously without losing quality or urgency.
- Strong written and verbal communication skills - youβre responsive, professional, and clear in every interaction.
- Hands-on experience with ATS platforms and scheduling tools; familiarity with Greenhouse, Ashby, or similar is a plus.
- High attention to detail and a low tolerance for data errors - you know that clean systems produce better outcomes.
- Proven ability to operate autonomously in a fast-moving environment, prioritize competing demands, and maintain composure under pressure.

The base salary range for this position is $100,000 - $125,000 per year, depending on experience, skills, qualifications, and location. This range represents our good faith estimate of the compensation for this role at the time of posting. Total compensation may also include equity in the form of stock options.
