What’s the role
The Operations Manager is the systems leader of Philadelphia Hebrew Public, creating a safe, welcoming, and highly organized environment where students and families are supported every day.
This is a fast-paced, high-responsibility role. You will partner with the operations team to ensure all core systems run smoothly including the front office, attendance, family communication, student records, transportation, safety, food service, and facilities. You will support daily execution, respond to urgent challenges, ensure systems are followed consistently, and build strong relationships with families and partners.
Reporting to the Director of Operations, you will help strengthen and improve these systems over time. You will partner with school leadership to align operations with school goals, support compliance with all requirements, oversee enrollment processes, and manage procurement and technology, so teachers can focus on teaching and students can focus on learning.

What you’ll do
Operations Management
• Create an office space and culture that is customer service-oriented, welcoming, organized, and accessible to all stakeholders including staff, learners, families, and partners
• Lead and supports the operations team, particularly the office staff
• Respond to general school inquiries via phone, in person, and email with urgency and thoughtfulness;
• Coordinate daily systems and procedures to ensure seamless execution of all school operations, including, parent communication, student transportation, data reporting, attendance, school food, school safety plans and facilities management
• Manage school coverage including deployment of substitute teachers
• Train school staff on daily procedures by ensuring operational systems are implemented with fidelity by all staff members and by giving feedback to stakeholders when systems are not meeting school needs
Use an operational lens and expertise to develop long-term operational strategy and carry out the leadership team's school goals and vision
• Manage the student record keeping systems in line with state rules and regulations, including health and safety laws, teacher certification, city and state mandates, and all state and federal workplace regulations
• Manage student transportation including arrival, dismissal, and field trips
• Manage the school’s food services program and emergency exit and lockdown procedures and protocols; scheduling of fire drills in accordance with state law
• Establish and maintains successful relationships with all members of the schools, builds partners to drive the goals of our school community
• Advocate for all policies, procedures, and communications across the school community to drive student outcomes

Student and Family Engagement
• Build and manage relationships with key stakeholders (families, staff, students, Charter School Office, vendors, organizational partners, and Hebrew Public network team)
• Collaborate with Leadership Team in creating effective and efficient communications to all stakeholders, and creating smooth and efficient in-school systems
• Key partner in planning and executing school-family events and involvement, including family nights
• Manage student enrollment process including application, lottery, waitlist, transfer, withdrawal process, and monitoring of accurate student records;
Finance, Procurement and Technology
• Responsible for site level procurement of supplies, materials, equipment and inventory management.
• Oversee on-site technology activities in alignment with school’s operational goals and budget
Who you are
• Bachelor’s Degree in a related field (preferred)
• 2–4 years of experience in school operations or administrative support (required)
• Proficient in Microsoft Office and Google Workspace; experience with SIS platforms is a plus
• Demonstrated success working with children and/or families—preferably in an elementary school setting
• Strong written and verbal communication skills in English; Spanish fluency is a plus
• Physically able to lift 50 pounds (materials, supplies, etc.)
