What You'll Be Doing:
Program Operations & Logistics (Pre-Program & Summer Focus)
β’ Support scheduling, onboarding, housing coordination, and weekly program logistics.
β’ Assist with preparing materials, organizing events, and ensuring smooth day-to-day program operations.
β’ Provide administrative and logistical assistance to the Program Manager and broader internship team.
β’ Help ensure all program activities run efficiently and align with established plans.
Recruitment & Marketing Support (Fall & Spring Focus)
β’ Assist with executing campus outreach campaigns, job postings, and email communication.
β’ Maintain applicant data in the CRM and support the candidate review process.
β’ Help maintain university outreach lists, post internship openings, and update calendars and tracking dashboards.
β’ Prepare materials and provide on-site or virtual support for recruitment events and communications.
Program Execution (Summer Focus)
β’ Support delivery of workshops, training sessions, and other program events.
β’ Track intern attendance, engagement, and deliverables.
β’ Capture photos, videos, and testimonials for post-program storytelling and marketing.
β’ Assist with preparing agendas, confirming speakers, organizing logistics, and capturing notes or feedback.
β’ Ensure all interns have the tools and information they need to succeed each week.
β’ Surface logistical needs or potential issues to the Program Manager promptly for resolution.
Data Management & Reporting
β’ Maintain accurate databases of interns, applicants, and partner organizations.
β’ Collect post-program feedback and assist with performance reporting.
β’ Help track program KPIs including recruitment funnel, intern satisfaction, and business outcomes.
Communication & Collaboration
β’ Facilitate clear, consistent communication between interns, mentors, and internal teams as directed.
β’ Assist in drafting updates, reminders, and resources for program participants.
β’ Monitor general inquiries and route them to the appropriate contact or the Program Manager when needed.
β’ Provide ongoing support to ensure all stakeholders feel informed and supported.
What You'll Bring
β’ Bachelorβs degree in Communications, Business, Marketing, or a related field preferred.
β’ Strong organizational and time management skills.
β’ Excellent written and verbal communication abilities.
β’ Proven experience in event coordination, program support, or operations (1β3 years preferred).
β’ Comfort with CRMs and project management tools (e.g., ClickUp, Asana, or HighLevel).
β’ Ability to manage multiple priorities in a fast-paced, startup-like environment.
β’ A genuine interest in entrepreneurship, education, and student development.
β’ Ability to work in-person during the summer program in Dallas and travel occasionally for recruiting events.
