About the Role
You are the engine that powers business units at Monks, ensuring operational stability and building infrastructure that allows creative teams to thrive. This role manages the balance between project intake and human capacity, ensuring the right people are on the right tasks at all times.
Key Responsibilities
- →Manage the end-to-end project intake process, ensuring no detail is missed during handoffs
- →Serve as the primary admin for core systems, opening projects and managing metadata
- →Maintain data integrity across all platforms, providing real-time visibility into project status and budget health
- →Staff creative roles based on skill sets, brand experience, and current bandwidth
- →Proactively source, vet, and hire freelance talent when internal capacity is exceeded
- →Ensure every new hire and freelancer has system access and project context from Day 1
- →Monitor team-wide billability and proactively share resources across departments
- →Spot red flags like consistent over-utilization and take direct action to rebalance the load
- →Ensure 100% reporting accuracy for all trackers
Requirements
- ✓Fluent/Bilingual English for heavy written coordination and live verbal reporting
- ✓Bachelor’s Degree in Business Administration, communications, or related field
- ✓5-7 years of experience in operations, resource management, or project management within a creative agency or production house
- ✓Proven track record of managing cross-functional business units and navigating complex stakeholder relationships
- ✓Strong attention to data accuracy and ability to identify issues in spreadsheets
- ✓Understanding of creative workflows and the importance of treating creatives as individuals
- ✓Hands-on experience with tools like Asana, Monday.com, or Jira
- ✓Experience with Google Sheets to translate raw data into reports for leadership
