Position Summary: The Scheduling Paralegal Manager assists in the oversight of our litigation team, particularly those in the scheduling paralegal role, and helps ensure efficient and effective operation of our litigation department. The ideal candidate will possess strong leadership abilities, exceptional organizational skills, and a deep understanding of litigation processes and procedures, especially as they pertain to litigation scheduling. This role requires someone who can effectively manage multiple priorities, foster a collaborative work environment, and drive results through effective management and strategic planning.
Key Responsibilities:
β’ Participate in interviewing and making hiring recommendations of Scheduling Paralegals.
β’ Train Scheduling Paralegals in all areas of the role.
β’ Assess Scheduling Paralegals by reviewing upcoming and completed checklist items, review and edit documents and calendar entries, review scheduling order entries.
β’ Make recommendations regarding additional training, oversight, or other needed support of Scheduling Paralegals.
β’ Provided additional needed training for Scheduling Paralegals as needed.
β’ Assist with new hire and annual reviews of Scheduling Paralegals.
β’ Make recommendations regarding checklist adjustments and merge document adjustments as needed.
β’ Lead monthly Scheduling Paralegal meetings.
β’ Assess and recommend standardization of workflow and best practices for Scheduling Paralegals.
β’ Timecard management for Scheduling Paralegals.
β’ Proof and edit training manual updates.
β’ Handle Scheduling Paralegal functions on assigned teams as needed.
β’ Assess and make recommendations regarding personnel termination, when needed.
Work Experience Requirements:
β’ Previous managerial experience recommended
β’ Proficient in personal injury law involving motor vehicle accidents
β’ Excellent organizational skills with outstanding attention to detail
β’ Professional appearance and behavior
β’ Ability to maintain a high degree of discretion dealing with confidential information
Education Requirements:
β’ Minimum of 2 years of experience, preferably in a plaintiffβs personal injury law firm
β’ Exceptional verbal and written communication skills on the phone, in person and email
β’ Excellent time management, multi-tasking, and critical thinking abilities
β’ Proficient in Microsoft Office Suite and Case Management software (Needles preferred)
β’ Ability to lead and effectively manage a team
Physical Requirements:
β’ Office environment with normal business hours necessary to satisfactorily perform job functions.
β’ Stationary Position β Must be able to remain in a stationary position up to 50% of the time.
β’ Move or Traverse β This position needs to occasionally move about inside the office to access file cabinets, meeting rooms, office machinery, etc. May occasionally ascends/descends the stairs to get to other floors, cafeteria and parking area.
β’ Dexterity β constantly operates a computer and other office machinery such as a copy machine/printer.
β’ Move, Transport, Position, Put, Install, Remove - Occasionally moves supplies weighing up to 10 pounds for various presentation and event needs.
β’ Communicate, Detect, Converse with, Discern, Convey, Express oneself, Exchange information - The ability to communicate information and ideas so others will understand. Must be able to exchange accurate information in these situations.
β’ Detect, Determine, Perceive, Identify, Recognize, Judge, Observe, Inspect, Estimate, Assess - The ability to observe details at close range (within a few feet of the observer).
