The role:
The Onboarding Coordinator's contribution to the team members' experience is one of the most important and critical components to be successful. You will help us build an impactful and amazing employee experience from onboarding, training, feedback, and career development.
Time management, outstanding communication skills, and workflow coordination are key for this role, in order to support the progress of different projects, connecting with team members of all layers of the organization.
Responsibilities:
Employee Onboarding & Engagement
β’ Welcome new employees and facilitate their onboarding experience, ensuring they feel supported and informed.
β’ Assist in conducting orientation meetings and help managers complete onboarding paperwork.
β’ Accurately enter new hire information in our HRIS, Rippling.
Administrative & Operational Support
β’ Workers' Compensation Lead: Own the data entry and administrative tracking for Workers' Compensation claims. This includes maintaining incident logs, coordinating with insurance partners, and ensuring all documentation meets regulatory standards. Coordinate interviews and phone screenings, ensuring timely follow-ups.
β’ Internal Documentation: Maintain and audit digital employee files to ensure compliance with labor laws and company policies.
β’ Cross-Functional Support: Partner with the Office Manager and People Experience team to ensure administrative alignment on company-wide initiatives
Special Projects & Events
β’ Candidate Experience: Support the talent pipeline by scheduling interviews, managing phone screenings, and ensuring a "white-glove" experience for all candidates.
β’ Company Swag: Own the merchandise process. Including managing distribution for new hires.
β’ Engagement: Partner with the People Experience team to execute on-site culture events and team-building activities.
Must Have:
β’ 2+ years of previous administrative or project management experience in a startup environment.
β’ Bilingual Proficiency: Fluency in both Spanish and English (written and verbal).
β’ Strong time management skills, ability to function effectively in a fast-paced environment
β’ Excellent oral and written communication skills
β’ High-energy, self-starter who has the initiative to function autonomously, anticipate needs, and prioritize responsibilities
β’ Proven ability to work well in a team environment
β’ Must be proficient with computer systems
Nice to have:
β’ Experience with remote onboarding and working in a remote company environment.
β’ Ability to adapt to a fast-paced and dynamic work environment.
β’ Proficiency in tools such as Notion, Google, Monday, and Rippling.
