Qualified Personal Assistant (PA) - Job Description (Dubai) Position Title: Personal Assistant (PA) Location: Dubai, UAE Department: Executive Office Reports To: CEO / Managing Director Job Purpose To provide high-level administrative, organizational, and executive support to senior management. The PA ensures smooth day-to-day operations, manages schedules, coordinates meetings, handles confidential information, and supports business and personal tasks as required. Key Responsibilities 1. Administrative & Executive Support Manage calendars, schedule appointments, and coordinate meetings. Prepare meeting agendas, minutes, and follow-up actions. Draft, review, and proofread emails, letters, and reports. Maintain organized filing systems (digital and physical). Handle confidential and sensitive information with discretion. 2. Travel & Logistics Arrange domestic and international travel, including flights, hotels, and transportation. Organize visas, travel insurance, and required documentation. Prepare travel itineraries. 3. Communication & Coordination Act as the primary point of contact between the executive and internal/external parties. Receive and screen calls, messages, and correspondence. Coordinate with different departments to ensure tasks are completed on time. 4. Office & Task Management Track deadlines, reminders, and tasks to ensure timely completion. Assist in preparing presentations, reports, and business documents. Manage petty cash, expense tracking, and reimbursements as needed. 5. Personal Assistance (when required) Support personal errands such as appointments, bookings, family-related tasks, and personal events. Liaise with service providers, household staff, or vendors when necessary. Qualifications & Skills Required Bachelor's degree in Business Administration or a related field (preterred). Minimum 3-5 years of experience as a PA or Executive Assistant, ideally in the UAE. Excellent written and spoken English (Arabic is a plus). Strong knowledge of MS Office (Word, Excel, PowerPoint, Outlook) Excellent organizational and multitasking skills. Strong communication and interpersonal skills. High level of professionalism, confidentiality, and reliability. Ability to work under pressure and manage urgent tasks. Presentable and professional appearance. Additional Preferred Competencies Knowledge of UAE business practices and government portals (DubaiNow, ICA, Tasheel, Amer, etc.). Experience handling travel bookings and visa arrangements.
