ABOUT THE ROLE In the role as Executive assistant you will support people from the management team based in Lisbon. To succeed in this role you need to be a proactive problem-solver, have strong organizational skills and be used to operating in a fast paced environment. Our Executive assistant team consists of 4 people spread around our offices in Europe and Brazil Are you solution-oriented and exceptionally service-minded? What you'll do • Ensuring the Executive Managers can focus on their daily hectic work by ensuring a smooth aid on everything around them • Ensure the Executive feels well prepared for all interactions and has the correct documents for internal / external meetings • Coordinate complex, ever changing calendars • Coordinate on-site/off-site meetings and team events, ensuring to stick within budget • Create presentations for internal and external meetings • Coordinate point-to-point travel needs (car, flight, hotel, etc.) • Assist the Management Team with administrative tasks • Reporting of expenses Who you are • Have at least 5 years of working experience as an Executive Assistant (or PA) • Keeps calm under pressure and able to find solutions at short notice • Good judgement and ability to maintain confidentiality in all aspects of the role • Experience of committee and board meeting administration • Strong ability to prioritize and re-prioritize in a dynamic fast paced environment • Passionated about your work, a true “service soul” and are always aiming to exceed expectations • Strong team player with ability to work independently • Strong social skills and high integrity • Well organized and a great coordinator with an eye for detail • Creative self-starter and never reluctant to step in and get things done • Preferably previous experience from the hospitality sector, but most importantly, you have the instinct needed to provide great service and thrive in challenging situations as well as on making things happen • Fluent in verbal and written English Our Fantastic Benefits (varies by location) 🌴 20 to 25 days of holiday to support a healthy work-life balance 🥳 Monthly team outing allowance to enjoy social events with your colleagues ☕ Office perks such as refreshments (coffee, sodas etc.), breakfast, fruit and snacks 🍴 Meal card to enjoy a daily lunch allowance to make your workdays even more convenient 💚 Well being support our health allowance covers gym memberships, massages, and much more to help you feel your best PLUS additional benefits designed to enhance your work-life experience!
