ABOUT THE ROLE:
Join Notion’s Legal team to help streamline daily operations and build scalable programs, systems, and reports. You’ll work closely with the Legal Operations Lead to clarify processes, improve tools, and make insights more accessible.
WHAT YOU'LL ACHIEVE:
- Keep Legal’s eBilling and matter management running smoothly (vendor onboarding, matter setup/updates, invoices, accruals, budgets, data hygiene and vendor/timekeeper maintenance).
- Coordinate approvals and dependencies with Legal, Procurement, and Finance/AP to ensure accruals and timely payment processing.
- Support projects and needs across legal functions (commercial, employment, IP, corporate, litigation) as needed.
- Own and maintain Legal’s knowledge spaces by keeping hubs organized, standardizing taxonomy, and ensuring information is current and easy to find.
- Support Legal Ops initiatives (intake, process improvements, and other cross-team projects).
- Drive projects from scoping to delivery by defining requirements, building plans, aligning stakeholders, and tracking milestones.
- Track and report key metrics and trends, and surface insights (e.g., spend trends and cycle times).
- Maintain and improve standard operating procedures (SOPs), and support materials; help implement scalable future-state processes.
- Help evaluate legal tech and AI tools, support implementations/integrations, and help pilot and optimize automation to improve adoption and productivity.
SKILLS YOU'LL NEED TO BRING:
- 5-8 years of experience in legal operations and/or legal technology, with a focus on automation.
- Hands-on experience with AI tools to work smarter, improve efficiency, and deliver better results
- Hands-on experience with legal tech tools such as matter management systems, e-billing platforms, contract lifecycle management (CLM), or analytics platforms
- Ability to turn ambiguous operational problems into clear requirements and scalable solutions (process design, systems thinking, and technology)
- Technology savvy with hands on experience using business tools and platforms (e.g., Notion, spreadsheets, dashboard tools)
- Resilient, adaptable, and resourceful with the ability to build meaningful relationships and trust with internal and external partners and leaders. Comfortable working independently and making recommendations and decisions with imperfect information
- Strong operational execution and project management skills; able to manage multiple work-streams and deadlines with high attention to detail
- Comfortable defining metrics, building dashboards, and translating reporting into actionable insights that drive prioritization and change management
- Curious by default you are a self-starter who stays current on your own. Comfortable in ambiguity able to pull on the thread and run.
- Builder, not just an advisor. A track record of shipping frameworks and solutions, not just analyzing problems.
- You don’t need to be an AI expert, but you’re curious and willing to adopt AI tools to work smarter and deliver better results.
NICE TO HAVES:
- Experience working in Notion as a primary workspace tool
- Experience with e-billing / matter management platforms (Brightflag), ****CLM tools (Ironclad), and/or supporting legal tech stack administration
- Experience with process documentation and continuous improvement methodologies, including KPIs, SOPs, and swim lanes
